Managing the Vault CRM App on Windows

Users can install the app, sign in, and manage app updates. Ensure all device and software requirements are satisfied to use the app.

Installing the App

Users can install the Vault CRM app on Windows using one of the following options:

  • Select Start Media from a call report on Browser
  • Select Start Meeting from an Engage meeting call report on Browser
  • Install manually using Setup.exe

Signing In

Users can launch the Vault CRM app on Windows from the desktop icon and sign in with their Vault CRM credentials.

To sign in to Vault CRM:

  1. Select the application icon from the device’s home screen. The sign in screen displays, which includes the username field.
  2. The first time a user signs in, the username field is blank and a sync session begins once the user is authenticated. For subsequent sign-ins, the username field automatically populates with the previously used username. Vault CRM does not store passwords.

  3. Enter your username.
  4. Select Continue.
  5. Enter your password in the browser overlay. If you have single sign-on (SSO) configured, the third-party sign-in screen displays in the overlay. See Configuring Single Sign-on for more information about configuring SSO in Vault.
  6. Complete the sign in process in the browser.

After signing in, the app remains running in the background and accessible from the app icon in the system tray even after ending a call or closing the window, and even if the user did not launch the app from a call. When the app window is closed, double-select the icon to reopen the app.

Vault CRM recommends updating Vault security to ensure users can stay signed in to the Vault CRM app on Windows:

  1. Navigate to Admin > Settings > Security Policies.
  2. Select the Allow device enforced access check box to enable long live tokens.
  3. Enter the appropriate number of weeks users may remain signed in, up to 52 weeks.

When switching between users, perform the following best practices to avoid errors:

  • Sign out of the app and all Vault tabs in open browser windows
  • Use the same browser across all users
  • Ensure the user displayed on the authentication page matches the user whose credentials were used to sign in

Updating the App

The app checks for version updates every time it is launched, a user successfully signs in, and after every full sync. Full syncs occur:

  • Automatically on a daily basis
  • When a user performs a manual sync

In order for the app to upgrade automatically, ensure the following folders are trusted by your anti-virus software:

  • [Drive]:[User]\\AppData\\Local\\SquirrelTemp\
  • [Drive]:[User]\\AppData\\Local\\VeevaCRMEngage\
  • [Drive]:[User]\\AppData\\Roaming\\ZoomSDK\

If there is an issue with the automatic upgrade, users can manually upgrade the app by downloading and reinstalling the application.

App updates can be optional or required.

When users are not in a call, an update alert displays when there is an app version update. The alert displays in the bottom left corner above the Settings button as well as in the Settings menu. The alert colors depend on how many days have passed since the upgrade became available:

  • Green - Fewer than two days
  • Orange - Two to four days
  • Red - More than four days

If the app window is minimized or closed when there is an update, the window automatically reopens and displays in the foreground.

When users are in a call, app update alerts for optional and required app updates do not display until the call ends.

If the update is optional, users can:

  • Initiate call mode or join a call. The alert stops displaying until the call ends.
  • Select Update Now to update the app immediately. The app quits and automatically relaunches after the update completes. Users do not need to sign in again. Any unsynced CLM tracking data is saved and syncs after the app relaunches.
  • Select Update Later to update the app at a later time. The Update Now button in the media library menu and tray icon menu becomes available. When users are ready to update the app, select Update from either menu.

If the app update is required, select Update Now to update the app immediately. The app quits and automatically relaunches after the update completes. Users do not need to sign in again. Any unsynced CLM tracking data is saved and syncs after the app relaunches.
