## Aligning Content in Vault CRM Using Align

Align operational users can manage content groups and their membership, enabling an efficient way to assign content to field forces and Align Territories. Membership to content groups managed via Align are inherited based on a user's Align Territory or field force, significantly reducing the need for manual assignments.

### Configuring Content Alignment for

To configure this feature:

1. Ensure the following features are configured:

   * [Configuring Align](ConfiguringAlign.htm)
   * [Aligning Approved Email and CLM Content](../../Multichannel/CLM/ManagingContent/ContentAlignment.htm)
2. Navigate to **Admin > Users & Groups > Permission Sets**.
3. Select the appropriate permission set.
4. Select the **Objects** tab.
5. Grant the following permissions:

   | Object | Object Permission | Object Types | Fields | Field Permission |
   | --- | --- | --- | --- | --- |
   | content\_group\_\_v | CRED | All | * aln\_vcountry\_\_v * aln\_source\_\_v | Edit |
   | aln\_content\_group\_membership\_\_v | CRED | All | * external\_id\_\_v * field\_force\_\_v * content\_group\_\_v * territory\_\_v | Edit |
6. Navigate to **Admin > Configuration > Objects > aln\_field\_force\_\_v > Layouts**.
7. Add the **Content Group Membership** section to the appropriate layouts.
8. Navigate to **Admin > Configuration > Objects > aln\_territory\_\_v > Layouts**.
9. Add the **Content Group Membership** section to the appropriate layouts.
10. Navigate to **Align Admin > Align Settings (Production)**.
11. Select the **Global Align Setting** record.
12. Add the **Manage Content Group Memberships** value to the Manage CRM Features multiselect picklist.
13. Select **Save**.

To create content groups:

1. Navigate **Roster Management > Content Groups**.
2. Select **Create**.
3. Populate the following fields:

   * Name – The group name
   * Country – The group's country
   * Product – Select the appropriate product
4. Select **Save**. Content groups created in the user interface are automatically assigned an Align Source of align\_manual\_\_v.

Membership to content groups can be assigned either from Align Territories, field forces, or content groups by creating aln\_content\_group\_membership\_\_v records. Individual roster member assignment to a content group membership is determined by the roster member’s assigned field force and Align Territory, based on the following fields on the aln\_content\_group\_membership\_\_v record:

* If the aln\_field\_force\_\_v field is populated, all users assigned to an Align Territory within that field force are associated with the content group. For example, assigning all users in the Cardiology field force to a certain content group.
* If the aln\_territory\_\_v field is populated, all users assigned to that Align Territory or any of the territory’s descendents are associated with the content group. For example, if the aln\_content\_group\_membership\_\_v record has an Align Territory of Western US, users in the child territory of California are assigned to the content group.
* If both fields are populated, only users assigned to both the selected field force and the selected territory or any of its descendents associate with the content group. For example, assigning all users in the Western US Align Territory and the Cardiology field force to a content group.

Similar to [application roles inherited from a functional profile](../UserMgmt/FunctProfiles.htm), inherited aln\_content\_group\_membership\_\_v records calculate when pushing to Vault CRM and are not stored as distinct records.

#### Assigning Content Group Membership from Align Territories

Creating an aln\_content\_group\_membership\_\_v record from an Align Territory automatically populates the new record’s aln\_territory\_\_v field based on the selected Align Territory:

1. Navigate to the **Content Group Memberships** related list of the appropriate aln\_territory\_\_v record.
2. Select **New**.
3. Populate the following fields:

   * Content Group – Select the appropriate content\_group\_\_v record to assign to members of the Align Territory and its descendents
   * Field Force – This field is optional. Populating this field limits content group membership to roster members associated with the Align Territory and its descendents who are also in the selected field force.
4. Select **Add Row** to repeat this process as needed.
5. Select **Save**.

#### Assigning Content Group Membership from Field Forces

Creating an aln\_content\_group\_membership\_\_v record from a field force automatically populates the new record’s aln\_field\_force\_\_v field based on the selected field force:

1. Navigate to the **Content Group Memberships** related list of the appropriate field force.
2. Select **New**.
3. Populate the following fields:

   * Content Group – Select the appropriate content\_group\_\_v record to assign to members of the field force
   * Territory – This field is optional. Populating this field limits content group membership to roster members in the field force who are also associated with the selected Align Territory or its descendants.
4. Select **Add Row** to repeat this process as needed.
5. Select **Save**.

#### Assigning Content Group Membership from Content Groups

Creating an aln\_content\_group\_membership\_\_v record from a content group automatically populates the new record’s content\_group\_\_v field based on the selected content group:

1. Navigate to the **Content Group Memberships** related list of the appropriate content group.
2. Select **New**.
3. Populate one or both of the following fields:

   * Field Force – Select the appropriate aln\_field\_force\_\_v record to assign the content group to all roster members related to Align Territories in the selected field force
   * Territory – Select the appropriate aln\_territory\_\_v record to assign the content group to all roster members related to the selected Align Territory and its descendents
   * If both fields are populated, the content group is only assigned to roster members assigned to the selected field force who are also assigned to the selected Align Territory or any of its descendents
4. Select **Add Row** to repeat this process as needed.
5. Select **Save**.

### Revoking Content Group Membership as

To revoke a membership to a content group, delete the appropriate aln\_content\_group\_membership\_\_v record from any of the following detail pages:

* aln\_territory\_\_v
* aln\_field\_force\_\_v
* content\_group\_\_v

When users attempt to delete a aln\_content\_group\_membership\_\_v record, a warning displays with information about the Align Territories, field forces, and individual roster members impacted by the deletion.

Additionally, users can delete content\_group\_\_v records to revoke all membership associated with the content group.

### Pushing Content Group Memberships to Vault CRM as

Once all content groups are created and membership to those groups defined, users can [push](AlignCRMIntegration.htm) the assignments to Vault CRM.

content\_group\_user\_\_v records are updated or created in Vault CRM as part of the push from Align based on aln\_content\_group\_membership\_\_v records applying to the associated roster member.

For example, if Content Group A has an aln\_content\_group\_membership\_\_v record associating the content group to Territory 1, and a roster member is associated with Territory 1, the corresponding content\_group\_user\_\_v in Vault CRM associates the user\_\_sys record with Content Group A.
