## Selecting Products

Call Sampling enables users to record product disbursements on the call report. Users select the appropriate product, record the quantity disbursed, and enter any other relevant information—for example, the lot number for each sample. This increases ease and efficiency in call reporting by enabling users to record each call’s information in a single, centralized place. Selecting products on the call report also helps ensure that users’ sampling activity is compliant with regulations on the types and quantities of items disbursed to a particular HCP.

#### Validation Disclaimer

On the Browser and Windows platforms, this feature is released without validation for sampling. The feature requires enablement and does not affect other Vault CRM functionality. It was extensively tested by our QA team during the development and release process and will go through validation at a later date.

### Selecting Products as

Available product types display in the Sample and Promotional Items section of the call report. The following product types display in separate subsections of the call report:

| Sample | Any product sample that is physically left at the call location | Y | Y |
| BRC | Any product sample that is sent via mail to a specified ship to address | Y | Y |
| Alternative Sample | Any means of obtaining a product sample that does not require a lot number for disbursement (for example, co-pay cards and vouchers) | Y | Y |
| High Value Promotional Item | Any highly valued marketing or sales aid that is physically left at the call location (for example, medical books, models, or demonstration devices) | N | Y |
| Promotional Item | Any marketing or sales aid that is physically left at the call location | N | N |
| Reprint | Any medical reprint that is physically left at the call location | N | N |
| Custom | Any customer defined product type that is physically left at the call location | N | N |

Products are displayed to users only if they meet the following conditions:

* The product is assigned to the user in My Setup Products
* There are appropriate parent and child records for the product in the Product Catalog
* If [Defining Allowed Products](../../Call_Reporting_2/Restrictions/AllowedProd.htm) is enabled, the product is one of the allowed products
* If [Restricting Products by Account](../../Call_Reporting_2/Restrictions/RpAcct.htm) is enabled, the product is not restricted

Products are sorted by display order, based on the display\_order\_\_v field on the product\_\_v record. This enables admins to organize products for easy selection on the call report. If display order is not available, products are sorted alphabetically by product name, in ascending order.

If sample defaults are enabled for the account, quantities are preselected based on the values listed in the sample\_default\_\_v field on the account\_\_v record. Users can adjust the quantity as needed after adding a product.

For products requiring a signature or sample card number, lot number and quantity fields are editable until an HCP signature is captured or the call is submitted. For other promotional items, the quantity is editable until the call report is submitted. Numbers with spaces or decimal numbers are not supported in the Quantity field.

Virtual Lot Numbers can be used to manage sample inventory for non-sample products (BRCs, HVPs, promotional items, reprints, and custom items). See [Managing Non-Sample Products](../../SampleManagement/ManagingSampleRelatedData/NonSampleProducts.htm) for more information.

#### Adding Products to the Call Report

Adding products to a call report varies slightly by platform. See the following sections for details.

Browser
iPad, iPhone, Windows

To add a product to a call report on the Browser platform, select the Add action for the appropriate product type.

Select the appropriate product, lot number (if applicable), and quantity.

To remove a product from the call report, select the Delete icon.

#### Selecting a Recipient

For promotional items, reprints, and custom items, users can select a different product recipient for each item on the call. Select a recipient from the Recipient picklist for each product line item. Users can change the recipient until the call is submitted.

Samples, alternative samples, high value promotional items, and BRCs must all be applied to a single recipient, unless the call is a [unique activities](../../Call_Reporting_2/Executing/Activities/UniqueActivities.htm) group call. For more information, see [Selecting Sample Recipients on Standard Group Calls](Recipients.htm).

To add a product to a call report on the iPad, iPhone, and Windows platforms, select the Add action for the appropriate product type. This displays the product dialog, enabling users to select the product, item, lot number if applicable, and quantity. For iPad and Windows users, all available product types count towards the maximum number of samples for the call (defined by the ipad\_maximum\_samples\_\_v and maximum\_samples\_\_v Veeva Settings).

If mass sampling is enabled, users can add multiple sample products from the mass add samples window (see [Adding Multiple Products to the Call Report](MassSampling.htm) for more information).

When selecting the quantity, users can toggle between a picklist and a numerical keypad.

Select **Done** or **Done and New** to add the product to the call report. To remove a product from the call report, select the remove icon to the left of the product name.
