## Using Child Accounts in Events Management

End users can manage event attendees using child accounts, which represent a specific account-organization (HCP-HCO) combination, rather than just the HCP’s account.

This approach is especially valuable in markets where the HCP-HCO relationship is critical, or in cases where HCPs work at multiple institutions with different regulations, roles, or responsibilities. By using child accounts, users can accurately record event interactions against the specific person-location relationship.

### Configuring Child Accounts in Events Management for

To configure this feature:

1. Ensure [Configuring Events Management](../Configuration/Config.htm) is complete.
2. Navigate to **Admin > Users & Groups > Permission Sets**.
3. Select the appropriate permission set.
4. Select the **Objects** tab.
5. Grant the following permissions:

   | Object | Object Permission | Object Types | Fields | Field Permission |
   | --- | --- | --- | --- | --- |
   | child\_account\_\_v | R | n/a | * child\_account\_\_v * child\_name\_\_v * parent\_account\_\_v * parent\_child\_name\_\_v * parent\_name\_\_v | Read |
   | em\_attendee\_\_v | CRE | All | child\_account\_\_v | Edit |
6. Navigate to **Business Admin > Objects > Veeva Settings** and edit the appropriate record.
7. Select the **Enable Child Account** checkbox.
8. Select **Save**.
9. Navigate to **Business Admin > Objects > VMobile Object Configurations**.
10. Create an active VMOC record for the **child\_account\_\_v** object for the iPad platform.
11. Navigate to **Admin > Configuration > Objects > em\_attendee\_\_v > Layouts**.
12. Place the **child\_account\_\_v** field on the appropriate layouts.

    It is recommended to either remove the account\_\_v field from layouts or to make the field read-only, since selecting a child account automatically populates this field.

#### Enabling Child Accounts in Out-of-Territory Searches

Admins can also enable child accounts to display as available when filtering out-of-territory search results when reconciling attendees:

1. Ensure [Filtering Attendee Results Outside of the User's Territory](LimitOoTResults.htm) is configured.
2. Navigate to **Admin > Users & Groups > Permission Sets**.
3. Select the appropriate permission set.
4. Select the **Objects** tab.
5. Grant the following additional permissions:

### Adding Child Accounts as Attendees as

When adding an attendee to an event, the Attendee Selection modal displays all child accounts the user has access to.

The Attendee Selection modal displays the following columns:

* The Name column of the modal displays the combined parent and child account name, based on the parent\_child\_name\_\_v field on the appropriate account
* The Address column, if configured, displays the primary address of the parent business account
* All other columns display information from the child's person account record

Users are prevented from adding the same person as an attendee multiple times via different child account relationships.

### Recording a Call from an Event with Child Accounts as

When a user [records a call from an event](../Executing/RecordCall.htm), any event attendees who are child accounts are available as suggested attendees on the call record. The suggestion is based on the child account's person account record.

### Managing Expenses with Child Accounts as

When managing attendee event expenses with child accounts, the combined parent and child account name, based on the parent\_child\_name\_\_v field, stamps on the following expense fields:

* expense\_header\_\_v
* payee\_\_v
* incurred\_expense\_\_v
* expense\_attribution\_\_v
* incurred\_expense\_\_v
* incurred\_expense\_attendee\_\_v

The parent-child name also displays in the Select Participant modal when splitting an expense.

### Reconciling Walk-in Attendees to Child Accounts as

To [reconcile a walk-in attendee](Walk_inAttendees.htm) to a Child Account:

1. Select the **Attendee Reconciliation** button from the event.
2. Enter search criteria in the Search for Matches modal. To obtain exact matching results to a single word or partial phrase, enclose the search text in double quotation marks (“ “). The following fields match against the following types of account:

   * Child Account
   * First Name
   * Last Name
   * Email
   * Phone
   * Parent Account
   * Address
   * Email
   * Phone
3. Select the correct Child Account record from the results.
4. Select **Confirm**. The attendee type updates to child\_account\_\_v and the Location field stamps with the Business Account.

### Using the Digital Sign-in Sheet with Child Accounts as

When child accounts sign into an event as an attendee, the signature screen on the digital sign-in sheet displays the primary address of the parent business account.
