## Using Alternative Hosts for Virtual Events

End users can designate Event Team Members as alternative hosts to start and manage virtual events with the same privileges as the event host. This enables end users to avoid rescheduling or canceling the event if the original host cannot host the event, for example, due to illness or scheduling conflicts.

To configure this feature, ensure the following features are configured:

To configure this feature:

1. Ensure the following features are configured:

   * [Configuring Events Management](../Configuration/Config.htm)
   * [Hosting a Virtual Event using Engage](HostingVirtualEvents.htm)
2. Grant the following permissions:

   | em\_event\_\_v | CRE | n/a | assigned\_host\_\_v | Edit |
   | remote\_meeting\_\_v | CRE | n/a | assigned\_host\_\_v | Edit |
3. Navigate to **Admin > Configuration > Objects > em\_event\_team\_member\_\_v > Layouts**.
4. Add the **virtual\_role\_\_v** field to the appropriate layouts.

### Designating Alternative Hosts as

When an event organizer schedules a virtual event, their corresponding em\_event\_team\_member\_\_v record is updated with a virtual\_role\_\_v of host\_\_v.

If an em\_event\_team\_member\_\_v does not exist for the host, a corresponding record is automatically added to the event with the virtual\_role\_\_v of host\_\_v.

To add alternative hosts to a the virtual event:

1. Navigate to the appropriate **em\_event\_\_v** record.
2. Navigate to the list of Event Team Members.
3. Select **alternative\_host\_\_v** in the virtual\_role\_\_v picklist for all appropriate team members. The virtual\_role\_\_v picklist only displays for team members with an event\_team\_member\_type\_\_v field of user\_\_v.

If an Alternative Host is also added to the event as a user attendee, the user is prioritized as an Alternative Host and is not assigned a [Participant URL](HostingVirtualEvents.htm#Generati).

An event organizer can schedule a virtual event on behalf of another event team member by assigning them with a virtual\_role\_\_v of host\_\_v.

To designate a host of a virtual event:

1. Navigate to the appropriate **em\_event\_\_v** record.
2. Navigate to the list of Event Team Members.
3. Select **host\_\_v** in the virtual\_role\_\_v picklist for all appropriate team members. The virtual\_role\_\_v picklist only displays for team members with an event\_team\_member\_type\_\_v field of user\_\_v.
4. Select the **Schedule Engage** button in the All Actions menu on the em\_event\_\_v record.

After scheduling, the assigned host cannot be changed or removed. Alternative hosts can be added and removed.

### Starting a Virtual Event as

To start a virtual event as an alternative host:

1. Navigate to the appropriate **em\_event\_\_v** record.
2. Select the **Start Engage** button in the All Actions menu.

If a virtual event is started by an alternative host, and the original host later joins, the original host is given the option to reclaim hosting privileges

Alternative event hosts operate virtual events with similar privileges and processes as the event host. See [Hosting a Virtual Event using Engage](HostingVirtualEvents.htm) for more information.

\*Only the meeting host can end the meeting. If an alternative host started the meeting as the host and the original host did not join, the alternative host can end the meeting. If the original host joined and reclaimed hosting privileges, only the original host can end the meeting.
