## Licenses

Users can import HCP License numbers from Veeva Network MDM. Depending on the type of License (for example, State License, DEA License), the appropriate fields on the Address records are populated when the Network Subscription runs. Users do not need to map any license fields from Veeva Network MDM to Vault CRM – the integration handles these automatically.

#### Network License Eligibility for Sampling

This feature is enabled by default and does not require configuration.

#### Network RXA Eligible License Mapping in Vault CRM

To enable Network RXA Eligible license mapping in Vault CRM:

1. Navigate to **Admin > Users & Groups > Permission Sets**.
2. Select the appropriate permission set.
3. Select **Objects**.
4. Grant the Integration user Edit permission and all other users Read permission to the **network\_rxa\_eligible\_\_v** field on the address\_\_v object.
5. Add references to the **network\_rxa\_eligible\_\_v** field on the address\_\_v object to all appropriate sample formula fields throughout Vault CRM.

#### Mapping for MCSR CDS License Integration

Veeva Network supports the integration of MCSR CDS licenses between Network, OpenData, and Vault CRM. The Network integration populates the CDS licenses for Massachusetts only to the specified address and populates the CDS drug schedule information.

To enable mapping for MCSR CDS license integration in Vault CRM:

1. Navigate to **Admin > Users & Groups > Permission Sets**.
2. Select the appropriate permission set.
3. Select **Objects**.
4. Grant the Integration user Edit and all other users Read permission to the **cds\_schedule\_\_v** field on the address\_\_v object.

#### Network License Eligibility for Sampling

The Network license\_eligibility\_\_v field contains the sample eligibility of license records for specific HCPs or addresses. The values for each License record are mapped to a Vault CRM field, network\_sample\_eligibile\_\_v on the address\_\_v object. Administrators can add a value later if the value is initially mapped as Null (Ineligible).

Veeva supports the following licenses only from the United States and Canada: State, DEA, and CDS. This mapping is hard-coded. Mapping of other licenses or license types is not supported.

#### Network RXA Eligible License Mapping in Network MDM

The Network State License Mappings use both the network\_sample\_eligible\_\_v and the network\_rxa\_eligiblity\_\_v fields on the address\_\_v object to indicate an account’s ability to prescribe products and receive samples. Since sample eligibility and prescriptive authority can be different, depending on local laws, these two fields together enable compliance in these markets.

The default label for the network\_sample\_eligible\_\_v field on the address\_\_v object is Network Prescriptive Authority. The network\_sample\_eligible\_\_v field represents an account’s ability to prescribe a product and is mapped to the license\_eligiblity\_\_v field on the license object in Network MDM.

The network\_rxa\_eligiblity\_\_v field on the address\_\_v object has a default label of Network RXA Eligible. This field represents an account’s ability to receive samples and is mapped to the rxa\_eligible\_\_v field on the LICENSE object in Network MDM.

For example, a clinic run by an HCP is able to prescribe products, but is not allowed to receive samples. The network\_sample\_eligibility\_\_v field on the clinic’s address\_\_v record is set to eligible\_\_v. The network\_rxa\_eligible\_\_v field is set to ineligible\_\_v.

After enabling this feature in Vault CRM, administrators must use Network MDM to populate existing address\_\_v records with the network\_rxa\_eligibility\_\_v field. #### Enhanced Network License Mapping

Veeva Network MDM admins can import additional license information provided by OpenData into Vault CRM using [Network Bridge](https://docs-vdm.veevanetwork.com/doc/vndocad/Content/Network_topics/CRM/Network_bridge.htm?Highlight=Network%20Bridge) or [Network Account Search](../Account_Search.htm). The data is then used by a Vault CRM admin to further customize their company’s sample eligibility formulas to include the new information.

For example, a Vault CRM admin edits the sample\_status\_\_v and license\_valid\_to\_sample\_\_v formula fields on the account\_\_v object to ensure HCPs are only eligible to receive a sample if they also have prescriptive authority for controlled substances.

#### Using MCSR CDS License Integration

When a user downloads a record from Network MDM that has an MCSR CDS license, the MCSR CDS license information is added to the account during the import process.

For example, an end user meets an HCP in Massachusetts. In OpenData, the HCP has an MA CDS license. The end user wants to log a call and provide samples to the HCP. The end user uses [Network Account Search](../Account_Search.htm) to download the HCP to their territory. The applicable HCP address is updated with the MCSR CDS license information.

End users can also submit an Edit Address DCR to edit MCSR CDS license information in Network MDM, or submit a DCR to create an MCSR CDS license in Network MDM. The Network Bridge process populates the MCSR CDS license information in Vault CRM.

For U.S. customers who subscribe to OpenData, CDS licenses are part of the data offering and are imported into Vault CRM for relevant HCPs.
