## Configuring Sample Management

The Sample Management module consists of the following components:

* Content Acknowledgement (content\_acknowledgment\_\_v) - The Content Acknowledgement object stores Acknowledgement of Content receipt signatures and fulfillment data for sample requests/BRCs shipped directly to HCPs, for example shipment and delivery status
* Content Acknowledgement Item (content\_acknowledgement\_item\_\_v) - The Content Acknowledgement Item store product-level details for Content Acknowledgement records
* Product Catalog (product\_\_v) - The Product Catalog stores product information for all detail and sample products. In order to select a sample product on the call report, users must have access to the corresponding record in the product catalog.
* Rep Roster (rep\_roster\_\_v) - The Rep Roster object stores relevant information about each user who manages sample inventory—for example, user contact information and sample storage location address
* Sample Inventory (sample\_inventory\_\_v and sample\_inventory\_item\_\_v) - The Sample Inventory object contains the header record for a user’s physical inventory of sample lots. sample\_inventory\_item\_\_v contains the records for individual line items in an inventory.
* Sample Lot (sample\_lot\_\_v)- The Sample Lot object stores user-specific sample records and lot numbers available for Sample Transactions. In order to disburse a product, users must have access to the corresponding Sample Lot record.
* Sample Lot Add (sample\_lot\_add\_\_v) - The sample\_lot\_add\_\_v object stores user requests for additional sample lots
* Sample Lot Item (sample\_lot\_item\_\_v) - The sample\_lot\_item\_\_v contains information on the attributes of a sample lot. For example, when cold chain sampling is enabled, this object stores the tag alert number.
* Sample Order Transaction (sample\_order\_transaction\_\_v) - The Sample Order Transaction object maintains and controls all transactional data related to sample requests/BRCs
* Sample Receipt (sample\_receipt\_\_v) - The Sample Receipt object stores records for all pending sample receipts. When samples are transferred to a user, a pending sample receipt record is automatically created by the sample\_transaction\_\_v trigger on the Sample Transaction object.
* Sample Transaction (sample\_transaction\_\_v) - The Sample Transaction object stores all transactional data related to samples—for example, information on sample disbursements, adjustments, transfers, and returns

### Configuring Sample Management for

To configure this module:

1. Ensure [Configuring the Product Catalog](../Products/ConfigProduct.htm) is complete.
2. Navigate to **Admin > Configuration > Tabs**.
3. Ensure the following tabs are available. If not, create them:

   * Lot Catalog
   * My Samples
   * Rep Roster
   * Sample Inventories
   * Sample Order Transactions (for BRCs)
   * Sample Transactions

   Do not create tabs for the sample\_lot\_\_v and sample\_inventory\_item\_\_v objects. Sample management is conducted through the sample\_transaction\_\_v, lot\_catalog\_\_v, and sample\_inventory\_\_v objects.
4. Navigate to **Admin > Users & Groups > Permission Sets**.
5. Select the appropriate permission set.
6. Select the **Objects** tab.
7. Grant at least the following permissions:

10. Grant Execute permission to the unlock\_\_v object action on the **sample\_transaction\_\_v** object.
11. Grant View permission to the following object controls on the **sample\_order\_transaction\_\_v** object (for BRCs) :

    * sot\_adjust\_for\_field\_control\_\_v
    * sot\_lot\_field\_control\_\_v
    * sot\_quantity\_field\_control\_\_v
    * sot\_sample\_field\_control\_\_v
    * sot\_state\_province\_field\_control\_\_v - for transfer\_\_v and return\_\_v object types
    * sot\_transferred\_from\_field\_control\_\_v
    * sot\_u\_m\_field\_control\_\_v
12. Grant Execute permission to the unlock\_\_v object action on the **sample\_order\_transaction\_\_v** object.
13. Select the **Tabs** tab.
14. Grant View permission to the following tabs:

    * Lot Catalog
    * My Samples
    * Rep Roster
    * Sample Inventories
    * Sample Order Transactions (for BRCs)
    * Sample Transactions
15. Select the **Pages** tab.
16. Grant View permission to the **My Samples** page.

#### Configuring Layouts

To configure layouts for this module:

1. Navigate to **Admin > Configuration > Objects > product\_\_v**.
2. Select the **Layouts** tab.
3. Add the following fields to the appropriate layouts on the **product\_\_v** object:
   * distributor\_\_v
   * manufacturer\_\_v
   * sample\_quantity\_bound\_\_v
   * sample\_quantity\_picklist\_\_v
   * sample\_u\_m\_\_v
   * user\_aligned\_\_v
4. Navigate to **Admin > Configuration > Objects > sample\_inventory\_\_v**.
5. Select the **Layouts** tab.
6. Ensure the **inventory\_for\_\_v** field and the **si\_inventory\_for\_field\_control\_\_c** field control are added to the appropriate sample\_inventory\_\_v layouts.

   Ensure the mobile\_last\_modified\_datetime\_\_v and mobile\_created\_datetime\_\_v fields are not placed on sample\_inventory\_\_v layouts. If these datetime fields are placed on the layout, their values may be incorrectly stamped.
7. Navigate to **Admin > Configuration > Objects > sample\_transaction\_\_v**.
8. Select the **Layouts** tab.
9. Ensure the **st\_adjust\_for\_field\_control\_\_c** and the **st\_transferred\_from\_field\_control\_\_c** controls are added to sample\_transaction\_\_v layouts.
10. Navigate to **Admin > Configuration > Objects > sample\_order\_transaction\_\_v**.
11. Select the **Layouts** tab.
12. Ensure the **sot\_adjust\_for\_field\_control\_\_c** and the **sot\_transferred\_from\_field\_control\_\_c** controls are added to sample\_order\_transaction\_\_v layouts.

#### Configuring Veeva Settings

To configure Veeva Settings for this module:

1. Navigate to **Business Admin > Objects > veeva\_settings\_\_v**.
2. Select the checkbox for the **enable\_mysamples\_login\_\_v** Veeva Setting to enable sample admin users to view other users’ My Samples pages.
3. Ensure the **use\_multi\_sample\_\_v** Veeva Setting checkbox is selected for all users.

#### Creating Sharing Rules

Create sharing rules, if needed, to ensure sample admin users can view other users’ inventories, sample lots and sample transactions. To grant sample admin users access to data on the sample\_lot\_\_v, sample\_receipt\_\_v, and sample\_inventory\_\_v objects using Vault [Dynamic Access Control](https://platform.veevavault.help/en/lr/33946/) (sharing rules):

1. Navigate to **Admin > Configuration > Objects**.
2. Select the appropriate object.
3. Select the **Sharing Rules** tab.
4. Select **Create**.
5. Populate the appropriate fields for the sharing rule.

Sample admin users can also grant other users access as needed, using sharing rules.

#### Preventing Field Copying

To prevent field values from being copied across records, for fields on any object:

1. Navigate to **Admin > Configuration > Objects**.
2. Select the appropriate object.
3. Select the **Fields** tab.
4. Select the appropriate field.
5. Select the **Do not copy this field in Copy Record** checkbox.

Selecting the checkbox for a field ensures the field values are not copied when users clone records.

#### Configuring Layouts

To configure layouts for this module:

1. Navigate to **Admin > Configuration > Objects > sample\_inventory\_\_v**.
2. Select the **Layouts** tab.
3. Ensure the **inventory\_for\_\_v** field and the **si\_inventory\_for\_field\_control\_\_c** field control are added to the appropriate sample\_inventory\_\_v layouts.
4. Configure **sample\_inventory\_\_v** layouts to enable sample inventories on the iPad platform:

* Create a related object section for the **sample\_inventory\_item\_\_v** object on sample\_inventory\_\_v layouts
* Select **Layout Rules**
* Create a layout rule to hide the **sample\_inventory\_item\_\_v** related object section:
* Populate the IF this Layout Rule Expression is TRUE box with the expression 'true'
* Apply the following display effects for the layout rule:
* Effect: Hide
* Type: Sections
* Value: Name of the sample\_inventory\_item\_\_v related object section

5. Navigate to **Admin > Configuration > Objects > sample\_transaction\_\_v**.
6. Select the **Layouts** tab.
7. Ensure the **st\_adjust\_for\_field\_control\_\_c** and the **st\_transferred\_from\_field\_control\_\_c** controls are added to sample\_transaction\_\_v layouts.
8. Navigate to **Admin > Configuration > Objects > sample\_order\_transaction\_\_v**.
9. Select the **Layouts** tab.
10. Ensure the **sot\_adjust\_for\_field\_control\_\_c** and the **sot\_transferred\_from\_field\_control\_\_c** controls are added to sample\_order\_transaction\_\_v layouts.

#### Configuring Veeva Settings

To configure Veeva Settings for this module:

1. Navigate to **Business Admin > Objects > veeva\_settings\_\_v**.
2. Enable the following Veeva Setting check boxes:
   * **enable\_receipt\_activation\_\_v** - When this setting is enabled and users receive sample transfers, the corresponding sample lots are not active in users' inventories until they confirm they received the transfer. This setting only applies to sample transactions with the transfer\_\_v object type.
   * **enable\_ipad\_mysamples\_\_v** - Enables users to capture inventory counts on the iPad platform
3. Populate the **max\_sample\_lines\_\_v** Veeva Setting with a number under 100 (optional). This setting defines the maximum number of product lines in a transaction. The default value is 10.

Ensure VMobile Object Configurations (VMOCs) exist for all objects detailed in the configuration above and for the appropriate platforms. If not, create them.

Ensure the appropriate records are in place for sampling—each sample product must have product records and a sample lot record, and each user must have a rep roster record with address information. See [Creating Records for Sample Management](ManagingSampleRelatedData/CreatingRecords.htm) for more information.

#### Enabling Inventories without Sample Lots

To enable end users to save or submit inventories without adding sample lot line items (optional):

1. Navigate to **Admin > Users & Groups > Permission Sets**.
2. Select the appropriate permission set.
3. Select the **Objects** tab.
4. Grant View permission to the **no\_sample\_lots\_\_v** control on the sample\_inventory\_\_v object.
5. Navigate to **Admin > Configuration > Objects > sample\_inventory\_\_v**.
6. Select the **Layouts** tab.
7. Place the **no\_sample\_lots\_\_c** field control and the **no\_sample\_lots\_\_v** field on the appropriate sample\_inventory\_\_\_v layouts.
8. Create a layout rule on the appropriate sample\_inventory\_\_v layouts to hide the **no\_sample\_lots\_\_v** field from the layout.

#### Enabling Blind Inventories

To enable blind inventories for end users (optional):

1. Navigate to **Admin > Configuration > Objects > sample\_inventory\_item\_\_v**.
2. Select the **Layouts** tab.
3. Create a new layout on the **sample\_inventory\_item\_\_v** object.
4. Remove the **expected\_quantity\_\_v** and **difference\_\_v** fields from the new layout.

#### Preventing Users from Saving Inventories

To prevent end users from saving inventories, in cases where inventories must be directly submitted without saving (optional):

1. Navigate to **Admin > Users & Groups > Permission Sets**.
2. Select the appropriate permission set.
3. Select the **Objects** tab.
4. Grant View permission to the **sample\_inventory\_submit\_\_v** field control on the sample\_inventory\_\_v object.
5. Navigate to **Admin > Configuration > Objects > sample\_inventory\_\_v**.
6. Select the **Layouts** tab.
7. Place the **sample\_inventory\_submit\_\_c** field control on the appropriate sample\_inventory\_\_v layouts.

#### Preventing Users from Submitting Inventories

To prevent end users from submitting inventories, in cases where users should only be able to save inventories (optional):

1. Navigate to **Admin > Users & Groups > Permission Sets**.
2. Select the appropriate permission set.
3. Select the **Objects** tab.
4. Remove access to the **submit\_\_v** object action on the sample\_inventory\_\_v object type.
5. Remove access to the **sample\_inventory\_submit\_\_v** field control on the sample\_inventory\_\_v object type.
6. Navigate to **Admin > Configuration > Objects > sample\_inventory\_\_v**.
7. Select the **Layouts** tab.
8. Remove the **sample\_inventory\_submit\_\_c** field control from sample\_inventory\_\_v layouts.

### Additional Configuration for Custom Layouts for

Additional configuration is needed for custom layouts on the sample\_transaction\_\_v, sample\_order\_transaction\_\_v, and sample\_inventory\_\_v objects. This configuration enables sample transactions and sample inventories to display the appropriate fields, including defaulting the Inventory For, Transferred From, and Adjust For fields to the current user when records are created from tabs instead of from the My Samples page.

When creating custom field values for sampling, ensure any custom field values defined for picklists on the call2\_\_v or call2\_sample\_\_v objects match the active picklist field values for the disbursement\_\_v object type on the sample\_transaction\_\_v object and the brc\_\_v object type on the sample\_order\_transaction\_\_v object.

#### Sample Transaction and Sample Order Transaction Layouts

When creating custom layouts on the sample\_transaction\_\_v or sample\_order\_transaction\_\_v objects, complete the following additional configuration:

1. Navigate to **Admin > Configuration > Objects > sample\_transaction\_\_v**.
2. Select the **Layouts** tab.
3. Add the **lot\_\_v** field to all sample\_transaction\_\_v layouts.
4. Create a detail form section named **sample\_information\_\_c** on the appropriate sample\_transaction\_\_v layouts, if it is not already included.
5. Ensure the following field controls are placed in the sample\_information\_\_c section on **sample\_transaction\_\_v** layouts:
   * st\_lot\_field\_control\_\_c
   * st\_quantity\_field\_control\_\_c
   * st\_sample\_field\_control\_\_c
   * st\_state\_province\_\_c - transfer\_\_v and return\_\_v object types only
   * st\_u\_m\_field\_control\_\_c

   Configuring other fields in the sample\_information\_\_c section is not supported.
6. Add the following controls to all **sample\_transaction\_\_v** layouts:
   * st\_adjust\_for\_field\_control\_\_c
   * st\_transferred\_from\_field\_control\_\_c

   When using the st\_adjust\_for\_field\_control\_\_c and st\_transferred\_from\_field\_control\_\_c controls, do not place the adjust\_for\_\_v and transferred\_from\_\_v fields on the sample\_transaction\_\_v layout.
7. Select **Layout Rules** from the sample\_transaction\_\_v layout.
8. Create a layout rule to hide the sample\_information\_\_c section on **sample\_transaction\_\_v** layouts.
9. Create layout rules to make the **adjust\_for\_\_v** and **transferred\_from\_\_v** fields required on sample\_transaction\_\_v layouts:
   * Populate the IF this Layout Rule Expression is TRUE box with the expression 'true'
   * Apply the following display effects for the layout rule:
   * Effect: Display as required
   * Type: Field
   * Value: adjust\_for\_\_v, transferred\_from\_\_v
10. Create layout rules to hide the **lot\_\_v** field on sample\_transaction\_\_v layouts:
    * Use either the expression 'true' or the expression, type='object\_type\_\_v'. For example, type='adjustment\_\_v'
    * Apply the following display effects for the layout rule:
    * Effect: Hide
    * Type: Field
    * Value: lot\_\_v
11. Navigate to **Admin > Configuration > Objects > sample\_order\_transaction\_\_v**.
12. Select the **Layouts** tab.
13. Add the **lot\_\_v** field to all sample\_order\_transaction\_\_v layouts.
14. Add the following controls to all **sample\_order\_transaction\_\_v** layouts:
    * sot\_adjust\_for\_field\_control\_\_c
    * sot\_lot\_field\_control\_\_c
    * sot\_quantity\_field\_control\_\_c
    * sot\_sample\_field\_control\_\_c
    * sot\_state\_province\_\_c - transfer\_\_v and return\_\_v object types only
    * sot\_transferred\_from\_field\_control\_\_c
    * sot\_u\_m\_field\_control\_\_c

    When using the sot\_adjust\_for\_field\_control\_\_c and sot\_transferred\_from\_field\_control\_\_c controls, do not place the adjust\_for\_\_v and transferred\_from\_\_v fields on the sample\_\_order\_transaction\_\_v layout.
15. Select **Layout Rules** from the sample\_order\_transaction\_\_v layout.
16. Create layout rules to make the **adjust\_for\_\_v** and **transferred\_from\_\_v** fields required on sample\_order\_transaction\_\_v layouts:
    * Populate the IF this Layout Rule Expression is TRUE box with the expression 'true'
    * Apply the following display effects for the layout rule:
    * Effect: Display as required
    * Type: Field
    * Value: adjust\_for\_\_v, transferred\_from\_\_v
17. Create layout rules to hide the **lot\_\_v** field on sample\_order\_transaction\_\_v layouts:
    * Use either the expression 'true' or the expression, type='object\_type\_\_v'. For example, type='adjustment\_\_v'
    * Apply the following display effects for the layout rule:
    * Effect: Hide
    * Type: Field
    * Value: lot\_\_v

Optionally, create layout rules on sample\_transaction\_\_v and sample\_order\_transaction\_\_v layouts to requires users to complete the state\_province\_\_v field or any additional fields:

1. Navigate to **Admin > Configuration > Objects**.
2. Select the appropriate object.
3. Select the **Layouts** tab.
4. Select the appropriate layout.
5. Select **Layout Rules**.
6. Create a layout rule to make the **state\_province\_\_v** field required on the appropriate sample\_transaction\_\_v and sample\_order\_transaction\_\_v layouts:
   * Populate the IF this Layout Rule Expression is TRUE box with the expression 'true'
   * Apply the following display effects for the layout rule:
   * Effect: Display as required
   * Type: Field
   * Value: state\_province\_\_v
7. Create layout rules to make additional fields required, as needed for compliance and reporting:
   * Use either the expression 'true' or the expression, type='object\_type\_\_v'. For example, type='adjustment\_\_v'
   * Apply the following display effects for the layout rule:
   * Effect: Display as required
   * Type: Field
   * Value: Appropriate field name

#### Sample Inventory Layouts

When creating custom layouts on the sample\_inventory\_\_v object, complete the following additional configuration:

1. Navigate to **Admin > Configuration > Objects > sample\_inventory\_\_v**.
2. Select the **Layouts** tab.
3. Add the following controls to **sample\_inventory\_\_v** layouts:

   * Select **Layout Rules** from the sample\_inventory\_\_v layout
   * Create a layout rule to hide the **previous\_inventory\_date\_time\_\_v**, **inventory\_from\_date\_\_v**, and **inventory\_for\_\_v** fields from sample\_inventory\_\_v layouts:
