## Configuring Surveys

The Surveys module consists of five objects:

#### Survey Creation

* survey\_\_v – stores the Survey header information: start date, end date, channels, assignment rule information, segment definitions, etc. This object is the template for the survey\_target\_\_v records.

  Attachment fields are not supported on the survey\_\_v or survey\_target\_\_v objects.
* survey\_question\_\_v – stores a specific instance of a question on a survey. This object is the template for the question\_response\_\_v object.
* question\_\_v - stores questions that can be used repeatedly throughout multiple surveys.

#### Survey Execution

* survey\_target\_\_v – stores a specific instance of a target’s response to a survey . Fields from the survey\_\_v record are copied along with information about the survey target (the account).

  Attachment fields are not supported on the survey\_\_v or survey\_target\_\_v objects.
* question\_response\_\_v – stores an end user’s answers for a survey question. Fields from the survey\_question\_\_v record are copied along with the user’s response.

#### Object Types

Object types are used on all five Survey objects.

* survey\_\_v and survey\_target\_\_v have associated object types: one\_time\_\_v, recurring\_\_v, user\_event\_suggestion\_\_v, and coaching\_report\_\_v. When a survey target record is created, it uses the same object type as the related survey.
* question\_\_v and survey\_question\_\_v have multiple object types, one for each type of question. For example, pick-list, radio, text, and date.
* When a survey question is created in the Question Bank, the same object type is used for the new survey question record as for the related Question record.
* The question\_response\_\_v object has five object types:
* crm\_\_v - for responses from surveys taken from within Vault CRM
* clm\_\_v - for responses from surveys taken as part of a CLM presentation
* approved\_email\_\_v
* crm\_coaching\_\_v

Object type access is required at the profile level for each user who creates a record. For example, if a user is creating one-time surveys, that security profile must have access to the one\_time\_\_v object type on the survey\_\_v object.

Object type permissions can be removed to prevent survey designers from creating certain question types. For example, to prohibit long-text questions, remove Create permissions to the long\_text\_\_v object type.

#### Survey Questions

There are several types of survey questions, for example, picklist, text, and radio. After a question is created and saved, it can be added to the Question Bank for use in other surveys if needed.

#### Survey Segments

Segments allow users to categorize results of the weighted questions in a survey. You can create segments based on the total value of the weighted questions. When a survey target is submitted, the values of answer choices are summed and the values are stamped to the score\_\_v field on the Survey Target record. This value is compared to the segment\_\_v field in the survey\_\_v record. The segment that corresponds to the score gets stamped into the segment\_\_v field on the survey target record.

#### Survey Channels

The channels\_\_v object control displays by default on the survey\_\_v page layout. This text field renders as a multi-select field and determines which channel the survey can be answered in: Vault CRM, CLM, or Approved Email.

#### Survey Targets

A target is an account for which an end user executes a survey. Target ownership is determined by [Assignment Rules](SelectingTargets/AddingSurveyTargets.htm#AssignmentRules). Survey designers can add [target accounts](SelectingTargets/AddingSurveyTargets.htm) via the Survey Management screen or by [data loading](Creating/DataLoadingSurveys.htm).

#### Assignment Rules

Assignment Rules determine ownership of survey target records for targeted accounts after a survey is published. They also determine which end users can create survey target records for Open surveys and which accounts can be surveyed. This information is stored in the open\_\_v, territory\_\_v, and assignment\_type\_\_v fields in the survey\_\_v object.

### Configuring Surveys for

1. Navigate to **Admin > Users & Groups > Permission Sets**.
2. Select the appropriate permission set.
3. Navigate to **Objects**.
4. Grant survey designers the following permissions:

   | Object | Object Permission | Object Types | Fields | Field Permission |

   | question\_\_v | CRED | All | All | Edit |
   | question\_response\_\_v | CRED | All | All | Edit |

   | survey\_question\_\_v | CRED | All | All | Edit |
   | survey\_target\_\_v | CRED | * one\_time\_\_v * recurring\_\_v | All | Edit |
5. Grant access to the **answer\_choice\_\_v** object control on the question\_\_v object.
6. Grant access to the following object controls on the **survey\_\_v** object:
   * account\_types\_\_v
   * channels\_\_v
   * questions\_section\_\_v
   * segments\_section\_\_v
   * targets\_section\_\_v
   * territories\_\_v
7. Grant access to the **survey\_target\_questions\_section\_\_v** object control on the survey\_target\_\_v object.
8. Grant **Execute** permission to the appropriate actions on the survey\_target\_\_v object.
9. Ensure the following object controls are in the Details section of the appropriate layout for the survey\_\_v object:
   * account\_types\_\_v
   * channels\_\_v
   * territories\_\_v
10. Grant survey designers View access to the **Surveys** tab.
    You may need to create this tab if it does not exist.
11. Navigate to the **User Territories** tab.
12. Verify that the survey designer is aligned to at least one territory.

To configure copying surveys:

1. Navigate to **Admin > Configuration > Objects > Survey > Object Types**.
2. Select the **Actions** link in the pagination menu.
3. Select **Edit Object Types**.
4. Select the **Copy Survey** action for the appropriate survey types.
5. Select **Save**.
6. Update the user's permission set to grant access to the **Copy Survey** action.

1. Navigate to **Admin > Users & Groups > Permission Sets**.
2. Select the appropriate permission set.
3. Navigate to **Objects**.
4. Grant end users the following permissions:

5. Grant access to the following object controls on the survey\_\_v object:
   * account\_types\_\_v
   * channels\_\_v
   * questions\_section\_\_v
   * segments\_section\_\_v
   * targets\_section\_\_v
   * territories\_\_v
6. Grant View access to the following pages:
   * Survey Target
   * Add Survey Target
7. Grant View access to the **My Surveys** tab.
8. Navigate to **Admin > Configuration > Objects > account\_\_v > Layouts**.
9. Select Add Section on the appropriate Account layout and add the **Survey Targets** Related Object to the layout.
10. Grant **Execute** permission to the appropriate actions on the survey\_target\_\_v object.
11. Navigate to **Business Admin > Objects > Veeva Settings**.
12. Ensure the **sync\_configuration\_mode\_\_v** Veeva Setting is set to 1 to allow activation of multiple VMOCs for different survey types.
13. Activate the following VMOCs:
    * question\_response\_\_v
    * survey\_\_v
    * survey\_question\_\_v
    * survey\_target\_\_v
14. To restrict end users from selecting open survey templates that are outside their My Setup product assignment, set the **Restrict Open Surveys by Product (restrict\_open\_surveys\_by\_product\_\_v)** Veeva Setting to **True**.
15. Navigate to the **User Territories** tab.
16. Verify that the Survey end user is aligned to at least one territory.
17. Navigate to **Admin > Users & Groups > Groups**.
18. Ensure the user's security profile is added to the All Internal Users group. Users must be included in this group to view open surveys available for selection when creating a new survey target.
