## Configuring Agentic Media

### Configuring Agentic Media for

[![Closed](../../../../Skins/Default/Stylesheets/Images/transparent.gif)Admin Users](#)

To configure this feature:

1. Ensure [Configuring Vault AI in CRM](../Configuration.htm) is complete.
2. Ensure [Advanced Text Search](../../Multichannel/CLM/NavigatingMedLib/SearchCLM.htm#ConfigATS) is configured.

Admins must run a full refresh for CLM content in the CLM Administration Console after enabling Advanced Text Search for the first time. See [Syncing Content from PromoMats/MedComms](../../Multichannel/CLM/ConfiguringCLM/ManageCLMSync.htm#SyncVault) for more information.
3. Navigate to **Admin > Users & Groups > Permission Sets**.
4. Select the appropriate permission set.
5. Select the **Objects** tab.
6. Grant the following permissions:

   | Object | Object Permission | Object Types | Fields | Field Permission |
   | --- | --- | --- | --- | --- |
   | ai\_settings\_\_v | RE | None | * application\_profile\_\_v * clm\_product\_vector\_scope\_\_v * clm\_vector\_scope\_\_v * vector\_sync\_scope\_\_v | Edit |
7. Navigate to **Admin > Operations**.
8. Activate the **Custom Presentation Vector Db Sync** (custom\_presentation\_vector\_db\_sync\_job\_\_v) scheduled job.
9. Navigate to **Business Admin > Objects > AI Settings**.
10. Select the **Global AI Settings** record.
11. Populate the **Vector Sync Scope** (vector\_sync\_scope\_\_v) setting with the value clm\_presentations\_\_v.
12. Select the appropriate value for the **CLM Vector Scope** (clm\_vector\_scope\_\_v) setting:
    * All – Include all approved CLM presentations during full and incremental refreshes
    * Product – Only include approved CLM presentations for specific products during full and incremental refreshes
    * Populate the clm\_product\_vector\_scope\_\_v field with the appropriate products
    * Include the value Unbranded Content to include CLM presentations without a defined product
    * No value selected – Do not include CLM presentations during full or incremental refreshes

To manage costs, admins can choose to only vectorize content for the specific products used by Agentic Media end users. This prevents the organization from spending tokens on vectorizing the entire library at once, especially for large media libraries.

[![Closed](../../../../Skins/Default/Stylesheets/Images/transparent.gif)CLM Integration User](#)

The CLM Integration User, defined in the CLM Administration Console, checks for new or updated CLM content requiring vectorization.

To configure this feature:

2. Navigate to **Admin > Users & Groups > Permission Sets**.
3. Select the appropriate permission set.
4. Select the **Application** tab.
5. Grant **Download Document** access in the Vault Actions section.
6. Select the **Objects** tab.
7. Grant the following permissions:

   | Object | Object Permission | Object Types | Fields | Field Permission |
   | --- | --- | --- | --- | --- |
   | ai\_settings\_\_v | R | None | * application\_profile\_\_v * clm\_product\_vector\_scope\_\_v * clm\_vector\_scope\_\_v * vector\_sync\_scope\_\_v | Read |

### Initializing the Vector Database as

[![Closed](../../../../Skins/Default/Stylesheets/Images/transparent.gif)Admin Users](#)

Initialize the vector database by running one full refresh after completing the configuration above and activating the agent.

To initialize the database:

1. Ensure configuration is complete and Agentic Media is active.
2. Navigate to **Admin > Configuration > CRM AI Management > AI Configurations**. The AI Configurations page displays the Vector Database Sync section, which contains a table of refresh jobs from the last ten days.
3. Select **Full Refresh**.
4. Select **CLM Presentations**.
5. Select **Continue**.
6. Select **Continue** in the confirmation pop-up to start the refresh process.

During the refresh, vectors are created for approved CLM content. When the refresh completes, the status updates to Finished in the Vector Database Sync table and a message displays indicating the number of documents loaded.

After initialization, the Vector Database is automatically updated for CLM content changes when the [PromoMats/MedComms](../../Multichannel/CLM/ConfiguringCLM/ManageCLMSync.htm) sync runs. Avoid running additional full refreshes; this can result in extra token usage and avoidable Agentic Media downtime. To reprocess failed content, use the Retry Failed option instead. For more information on managing the database on an ongoing basis, see [Managing the Vector Database](../RefreshVectorDB.htm).

If CLM Vector Scope is set to Product in AI Settings, also run a full refresh after updating scoped products or after changing the CLM Vector Scope AI Setting to All.
