Approved Notes Overview
Approved Notes is a tool designed to enhance compliance and productivity within Vault CRM. It allows you to monitor free-text fields, for example, pre-call or post-call notes, while empowering end users to capture valuable insights directly in the system.
Approved Notes consist of the following processes:
- Creating Monitoring Rules and Phrases – Compliance users work with Business Admin users to create fields and phrases for monitoring
- Viewing Approved Notes Monitoring Results – When a user enters text that triggers a rule, an alert is sent to the designated compliance users
- Reviewing Violations – Compliance users review potential violations and take appropriate action, such as editing the note
While Approved Notes monitors free text on any platform, Monitored Text records are only available in the browser.

Approved Notes has different types of users in Vault CRM, each of them with unique roles and responsibilities:
- Business Admin User
- Works with Compliance Users to create monitoring rules and phrases
- Compliance User
- Reviews potential violations and provides feedback on the validity of the violation
- Integration User
- Manages the connection between Vault CRM and Approved Notes
- Field User
- Records information in text fields monitored by Approved Notes
