Syncing Metadata Using the CRM Metadata Integration
The CRM Metadata Integration enables synchronization of Vault CRM metadata from Vault CRM to PromoMats and MedComms. This removes the requirement for users to manually maintain metadata records in both systems. The integration ensures object reference metadata (for example, Products, Detail Groups) is consistently aligned across applications for values driving functionality in Vault CRM.
By synchronizing the Vault CRM metadata, customers can reduce data discrepancies and streamline the content integrations from PromoMats and MedComms to Vault CRM.

Configuring CRM Metadata Integration for
To configure this feature:
- Navigate to Admin > Users & Groups > Permission Sets.
- Select the appropriate permission set.
- Select the Application tab.
- Grant access to Manage Connections and Manage Integrations in the Vault Actions section.
- Select the Objects tab.
- Grant at least the following permissions:

- Navigate to Admin > Connections.
- Select PromoMats-CRM Connection or Medical-CRM Connection, according to the connected Vault type.
- Establish a Vault to Vault Connection to PromoMats or MedComms for the appropriate integration. See How to Establish a Vault to Vault Connection in the Vault Platform Help for more information.
To configure this feature, ensure the PromoMats-CRM Connection or Medical-CRM Connection is active. See Enabling the Integrations in PromoMats and Enabling Integrations in MedComms in the Vault Platform Help for more information.
Managing the CRM Metadata Integration as
The CRM Metadata Integration is a standard connection between Vault CRM and a PromoMats or MedComms Vault instance, with the following outbound integration points for specific Vault CRM objects:
- CRM Product – Syncs Product Catalog object records with the Detail and Detail Topic product types
- Automatically activated when the CRM Product Group integration point is activated
- CRM Product Group – Syncs Product Group object records
- Automatically activated when both the CRM Product and CRM Detail Group integration points are activated
- Automatically deactivated when either the CRM Product and CRM Detail Group integration points are inactive
- CRM Detail Group – Syncs Product Catalog object records with the Detail Group product types
- Automatically activated when the CRM Product Group integration point is activated
- CRM Content Group – Syncs Content Group object records
- CRM Survey – Syncs Survey object records
- CRM Directory – Syncs Directory object records
- CRM Content Type – Syncs Content Type object records
- CRM Event Topics – Syncs EM Catalog object records with the Event Topic object type
- CRM Event Configuration – Syncs Event Configuration object records
Both the CRM Metadata Integration and the integration points are inactive by default. Content admin users must activate the CRM Metadata Integration and the appropriate integration points to sync only relevant object metadata to the connected PromoMats/MedComms Vault instance. Once activated, the CRM Metadata Integration runs automatically every time a record for the active integration points is created, updated, or deleted in Vault CRM.
If the Product Catalog integration point is active for a PromoMats Vault instance, content admin users cannot activate the CRM Product integration point for the same PromoMats Vault instance. An error displays when content admin users attempt to activate the integration point. See Syncing and Mapping Products from PromoMats to Vault CRM for more information.
To activate an integration and an integration point:
- Navigate to Admin > Connections.
- Select PromoMats-CRM Connection or Medical-CRM Connection, according to the connected Vault type.
- Select PromoMats-CRM Connection: CRM Metadata Integration or Medical-CRM Connection: CRM Metadata Integration in the Integrations section.
- Set the Status in the System Information section to Active.
- Select the appropriate integration point(s) in the Integration Points - Outbound section.
- Set the Status in the System Information section to Active.

The CRM Metadata Integration allows customers to map custom fields of any field type from Vault CRM to PromoMats/MedComms by creating field rules for the integration in the connected PromoMats/MedComms Vault instance.
