Hosting an Engage Meeting from the High Performance Call Report
Windows users can schedule and start Engage meetings from the High Performance Call Report. This enables users to share applications on their desktop as well as CLM content from their media library, via Engage meeting.

Configuring Hosting an Engage Meeting from the High Performance Call Report for

Ensure Configuring Engage Meeting is complete and the High Performance Call Report is enabled to use this functionality.
Scheduling and Starting an Engage Meeting from the High Performance Call Report as

To schedule an Engage meeting, select Schedule Meeting from the More Actions menu on the call report. Hosts can schedule an Engage meeting if there is at least one CRM user attendee or call attendee.
After scheduling the Engage meeting, the following meeting controls display in the header of the call:
- Information button – Selecting this button allows the meeting host to:
- Update the name of the meeting
- View meeting attendees
- View and copy meeting URLs and passwords, for distribution to attendees
- Start button – Starts the Engage meeting
- Retry button – Displays if the user schedules the Engage meeting without an internet connection or if an error occurs during the scheduling process. Selecting this button retries scheduling the meeting.
To start a scheduled meeting, select the Start button from the call report header. The Engage meeting launches in the Vault CRM app on Windows. When users are in an Engage meeting, the app is in call mode. Call mode means the app is tracking CLM activity for a specific call. To indicate call mode, a banner displays at the top of the screen and the app icon in the system tray displays a blue dot.
Users cannot schedule Engage meetings for calls associated to events or medical events.
Switching Remote Meeting Types
When both Engage meeting and Microsoft Teams meetings are enabled, users can switch meeting types after scheduling a meeting.
To switch the remote meeting type:
- Select the More Actions icon on the call report.
- Select the appropriate Switch to option.
- Select Schedule to confirm the change.
When users switch meeting types, the original remote meeting data is retained. The user interface only displays the currently scheduled meeting type. If users switch between meeting types multiple times, the previously saved remote_meeting__v record is reused.
Users can only switch meeting types prior to the meeting. Conducting both an Engage meeting and a Microsoft Teams meeting from the same call report is not supported.
Starting an Engage Meeting with Meet Now
If a remote meeting is not scheduled in advance for a call, meeting hosts can select the Meet Now button on the call report to quickly start an Engage meeting. The button displays when a remote meeting is not scheduled for the call and the call is not submitted.
After selecting Meet Now, the call report automatically refreshes with an Engage meeting scheduled for the current time and the meeting window launches immediately.
Engage meetings must be hosted on the same platform as where the meeting was initially scheduled. For example, if a user schedules an Engage meeting on the Windows platform, the meeting must be started and hosted on the Windows platform. The exception to this is if the meeting is scheduled by booking agents.
Hosting an Engage Meeting as

During an Engage meeting, the meeting window immediately displays in the foreground for the host when the first attendee joins the meeting.
From the Meeting Controls menu, hosts can access standard video call functionality, including the following actions:
- Mute/Unmute their own audio – If the host is not connected to the meeting audio, the Join Audio button displays. Hosts can select this button to choose how to join the meeting audio.
- Start/Stop their video
- View and manage the list of attendees – Hosts can view the video and audio status of each attendee. From the Manage Participants section, hosts can remove attendees from the meeting.
- If an attendee joined from a browser, that attendee can rejoin. If joining from the HCP Engage app, attendees are not able to rejoin the meeting.
- Chat with attendees – Does not display if chat is disabled
Ending an Engage Meeting
To end an Engage meeting:
- Select the End button on the Engage meeting window
- Select End from the call mode banner
- Select the End Meeting button from the Vault CRM tray icon
- Terminate the app window
When the host ends the meeting, the Engage meeting window closes. The Vault CRM app on Windows is no longer in call mode, and the high performance call report is foregrounded.
The Vault CRM app on Windows remains running in the background even after ending a call or closing the window.
If the host unexpectedly leaves the meeting for any reason, for example, losing internet connection, the host privileges are randomly assigned to an attendee. When the host rejoins the meeting, privileges are returned.
Sharing Content During an Engage Meeting as

When users share CLM, only relevant CLM presentations are available, based on Restricted Products, Allowed Products, and Account Segmentation for that specific call.
From the Vault CRM app on Windows, hosts can immediately share downloaded presentations. If the presentation was not downloaded, hosts can still download the media files while in the meeting. For more information, see Downloading CLM Presentations.
To display a CLM presentation or a desktop window to attendees:
- Select the More Actions button on the call report.
- Select Start Meeting to display the Vault CRM app on Windows in the foreground.
The media library window and call banner never display to attendees.
- Launch the appropriate content in either Normal View or Presentation View.
- Select Share from the meeting window to view the available Normal View and Presentation View windows, as well as available desktop windows.
- Select the appropriate window to share. For presentations in Normal View, the entire window is shared.
- Select the Start Slideshow button to display content in fullscreen Presentation View for the app to begin tracking the activity. For presentations already in Presentation View, the app immediately starts tracking the activity. Activity is tracked only in Presentation View, not in Normal View.
CLM overlays are not supported when hosting an Engage meeting online. Additionally, the highlighter pen and laser pointer are not available when sharing CLM content in the Vault CRM app on Windows. As an alternative, users may highlight content using their mouse pointer.
Quick Sharing CLM Content in Engage Meeting
On the Windows platform, the Present in Engage button displays in a presentation window when the presentation is in Normal View and there is an ongoing Engage meeting. Selecting Present in Engage displays the content in Presentation View and immediately starts sharing the window with attendees, allowing hosts to skip the standard navigation for sharing content. If a presentation is already in Presentation View but is not being shared, hosts can select Present in Engage from the right-select context menu to immediately begin sharing.
Tracking CLM Usage as

CLM content displayed during an Engage meeting is automatically tracked on the call. Users do not need to manually create a call detail or key message record before launching the Engage meeting.
A call key message is created for a presentation launched during an Engage meeting if the following conditions are met:
- The user is in a call
- The presentation is available for the call
- The presentation is in Presentation View and in the foreground
- The key message for a slide is displayed for more than 2 seconds
Duration tracking for a key message is paused when users display another window in the foreground while displaying a presentation slide.
The following information automatically associates to the call:
- Call Key Messages are created for each Key Message displayed longer than two seconds
- Call Detail records are created for products with a key message displayed
When the meeting is complete and the call is saved, the call and related Call Key Message and Call Detail records are saved. For meetings on the Vault CRM app on Windows, the data is synced from the app to CRM online.
Do not edit the call while the Engage meeting is in progress.
Considerations

- Engage meetings are not supported when using a VPN
- When users schedule or start Engage meetings from the high performance call report, Sending Invitations to an Engage Meeting is not supported
- The host's "Automatically join audio by computer when joining a meeting" audio setting is respected when joining an Engage meeting from the high performance call report
- Sharing from desktop during an Engage meeting is not supported when using the laptop in tablet mode
- An internet connection is required for this feature
