Getting Started with Vault CRM
To help users who are new to the Vault CRM platform learn about navigation and terminology, see the Getting Started with Vault CRM video.
Implementing the Common Data Architecture for Life Sciences
Starting in 24R2.0, Veeva is implementing the Common Data Architecture for Life Sciences (CDA.LS or CDA) in Vault CRM. The 24R2.0 release supports the HCP kernel of the CDA. Data model updates include adding new fields to the Account and Address objects, and updating the API names of some existing fields. Due to the updates to existing field names, customers must review their custom content (including X-Pages, CLM content, and Approved Email templates) to see if the content needs to be updated to use the new field names. See Veeva CDA for more information. See Data Model Updates for the Common Data Architecture for Life Sciences for a list of data model changes.
Vault CRM on CRM Desktop (Windows)
Users on Windows desktop computers can download and use the CRM Desktop (Windows) app for Vault CRM. The CRM Desktop (Windows) app supports call, CLM, and Engage meeting functionality. See CRM Desktop (Windows) for more information about setting up and using the app.

Features
The 24R2.0 release includes features from the following minor releases:
Service Center
Service Center provides a centralized hub of tools for addressing inquiries made to businesses’ Service organizations. Service Center representatives handle inbound contacts, open cases, access tools, and view a detailed case history within a single console, enabling efficient and consistent contact resolution. See the Service Center video here.
Account Management
Users on the iPad platform can display out-of-territory accounts and add out-of-territory accounts to user territories. This enables users to more accurately manage their accounts, and plan account interactions by providing a full view of their accounts’ professional networks.
Approved Email
Creating Approved Email Receipt Templates for Signature Transactions
Accounts providing signatures frequently request a receipt for the items they have signed for. Approved Email provides this receipt, and can deliver receipts across many areas of Vault CRM while maintaining the approved content nature of Approved Email. Receipts include an image of the captured signature and a list of the items the HCP signed for.
Call Reporting
Disabling Key Message Reactions
To streamline call reporting for users who do not need access to Key Message reactions, admins can remove end users' access to Key Message reactions. When users do not have access to Key Message reactions, the reactions picklist does not display on the call report.
Maintaining Separate Call and Signature Datetimes
Maintaining a separate call and signature datetime enables users to meet specific reporting requirements, collect detailed information for future call planning, and accurately record calls with a long duration. When a user accepts a signature on an mobile device, the original call date or datetime is overwritten with the signature datetime by default. However, admins can configure the call report to maintain the original call date or datetime, as well as a separate signature datetime.
CLM
Adding Watermarks to Training Presentations on iPhone
Customers can add and customize watermarks on CLM Key Messages to help iPhone users distinguish between training and published presentations. This prevents users from accidentally displaying training content to HCPs.
Aligning Approved Email and CLM Content
Content alignment allows customers to give the right users access to the right content using content groups. Content groups are groups of users who have access to the same content, allowing admins to efficiently manage the Approved Email and CLM content assigned to large groups of users. Content alignment provides customers with more transparency over what content is available for specific types of users. Customers can use content alignment with Align and/or Vault PromoMats/MedComms to further streamline the process. Customers can build dashboards and reports to understand which users have access to which content.
Capturing Consent for CLM Tracking
Customers can track an account’s CLM activity for marketing purposes. These statistics can help customers improve and tailor CLM content for HCPs. However, end users must first receive consent from HCPs to track CLM activity and associate it with their accounts. Consent Capture allows users to capture and save HCP consent in Vault CRM.
Creating Interactive HTML Content for iPhone and CRM Desktop (Windows)
HTML5 provides a rich set of tools for creating interactive media for users. In general, anything that can be done in Flash can be replicated in HTML5, allowing content creators to develop targeted and dynamic content..
Customizing Slide Navigation on iPhone and CRM Desktop (Windows)
Content creators can include links to other slides within a presentation or to slides in other presentations, or directly launch a specific slide. This allows content creators to develop dynamic and interactive content for iPhone and CRM Desktop (Windows) users.
Defining Sub-Presentations Slides on iPhone and CRM Desktop (Windows)
CLM presentations can contain a sub-presentation of a required set of slides that must be shown prior to displaying certain target slides within the main presentation, ensuring iPhone and CRM Desktop (Windows) users satisfy compliance regulations.
Defining Swipe Sensitivity for Slide Navigation on iPhone
Swipe sensitivity is the length of the gesture needed to swipe from one slide to the next. Admins can configure swipe sensitivity to allow iPhone users to smoothly and easily navigate through a CLM presentation.
Disabling Rotation Lock on iPhone
By default, PDF content displays in landscape mode, regardless of the device's orientation lock. However, admins can disable rotation lock to allow PDF content to display in portrait mode, enabling iPhone users to fully view each page of the PDF without needing to scroll, improving content flexibility.
Disabling Standard Navigation on iPhone
To facilitate their own custom navigation over standard navigation and allow the CLM media player to be more compatible with layered content, content admins can disable the navigation bar and history buttons for individual key messages. This prevents iPhone users from being locked into one behavior for all content.
Disabling Touch Gestures on iPhone
When displaying CLM presentations, iPhone users can use touch gestures, including swipe and pinch to exit or zoom. These touch gestures can be disabled to improve presentation navigation.
Displaying CLM Content on CRM Desktop (Windows)
To preview CLM presentation slides and prepare presentation CRM Desktop (Windows) to be shared in calls, users can display multiple presentations at once in Normal View, Slide Show View, Window View, and Presenter View. Users can prepare for calls by displaying presentations in Normal View and previewing presentations in Slide Show View, Window View, or Presenter View. Users can also easily switch between presentations while sharing content.
Displaying CLM Content from Calls on CRM Desktop (Windows)
CRM Desktop (Windows) users can display CLM content from a call report using the Start Media option in the More Actions or the Media button. Users can view content associated with their assigned products as well as company level content without related products, as determined by the products specified in the user’s My Setup Products. This allows users to share important and engaging visual content with HCPs.
Displaying CLM Content on iPhone
iPhone users can display and navigate CLM content using the built-in media player in the Vault CRM app. This allows users to quickly display content during meetings and navigate between their presentations and call reports.
Displaying Dynamic Content on iPhone and CRM Desktop (Windows)
To display dynamic content to target accounts on iPhone and CRM Desktop (Windows), CLM content can include personalized information pulled from Vault CRM, tailoring the content for each HCP.
Displaying PDFs in CLM on iPhone and CRM Desktop (Windows)
PDF files in CLM content can be displayed via HTML or PDF key messages. When an iPhone or CRM Desktop (Windows) user displays a PDF file locally referenced from an HTML key message, the PDF displays in an overlay on top of the presentation.
Displaying PowerPoint Presentations in CLM on iPhone and CRM Desktop (Windows)
CLM presentations containing PowerPoint content launch in PowerPoint outside the CLM media player, while still using the media library. This allows iPhone and CRM Desktop (Windows) users to maintain the animations and transitions of their PowerPoint presentations, while still ensuring the latest approved version of the presentation is available.
Displaying Website Content in the Media Library on iPhone
Vault CRM supports displaying website content in the media library. Content creators can create websites with approved content which iPhone users can share with HCPs during calls and Engage meetings, while ensuring the content is compliant.
Fading Out CLM Content on iPhone
Certain compliance regulations require presentation slides to either display in full or not at all. To help iPhone users satisfy these compliance regulations, CLM content remains in the background and fades to black until the overlay or navigation bar is completely closed, enabling end users to remain compliant while they navigate slides of a CLM presentation.
Grouping Presentations in the Media Library on iPhone and CRM Desktop (Windows)
Content admins can define attributes to allow iPhone and CRM Desktop (Windows) users to group presentations. Users can select the attribute by which to group their presentations in the Table and Display By views. If a group is not selected, presentations display alphabetically. This allows users to navigate their media libraries more efficiently.
Labeling Presentations on iPhone and CRM Desktop (Windows)
iPhone and CRM Desktop (Windows) users can organize presentations by creating and adding labels. If users have large libraries of presentations, using labels helps to quickly identify the appropriate presentation to use.
Managing Favorite Presentations on iPhone and CRM Desktop (Windows)
iPhone and CRM Desktop (Windows) users can indicate their favorite or most commonly used presentations by selecting the heart icon displayed over each presentation thumbnail in the media library. Presentations marked as favorites display in the Favorites tab of the media library. Users can deselect the heart icon to remove presentations from their favorites.
Packaging Custom CLM Content for iPhone and CRM Desktop (Windows)
After creating a piece of media, content creators must prepare the media before it can be loaded into PromoMats/MedComms. The content is then synced from PromoMats/MedComms to Vault CRM on iPhone and CRM Desktop (Windows). Overall, the process involves creating lower resolution versions of the media, putting all files into a folder, and compressing the folder into a zip file. Each piece of media in the system is encapsulated into a separate zip file before loading.
Retiring Expired Presentations on iPhone and CRM Desktop (Windows)
Expired presentations can be removed from use without requiring users to sync their devices. This helps to reduce the number of presentations from a user’s media library on iPhone and CRM Desktop (Windows), making it easier to find presentations they need.
Searching the Media Library on iPhone
iPhone users can easily locate a presentation by searching in their media library. Search results display sorted by relevance based on the search terms.
Setting the Content Target Platform for HTML Content
Vault CRM supports HTML content in CLM developed for Veeva CRM and Vault CRM. CLM content developed for Veeva CRM uses Veeva CRM API names and the Veeva CRM version of the Multichannel JavaScript library. CLM content developed for Vault CRM uses Vault API names and the Vault CRM version of the Multichannel JavaScript library. To allow both types of HTML content to function correctly in Vault CRM, content creators must set the appropriate content target platform for the content in PromoMats/MedComms. The selected content target platform must match the JavaScript library file used in the content.
Supporting CLM Content on iPhone and CRM Desktop (Windows)
The CLM media player on iPhone and CRM Desktop (Windows) is optimized for electronic detailing with HTML5 media and various other digital assets. The media player supports images, video, and PDF, allowing reuse of existing media libraries.
Supporting Multi-Product CLM Presentations on iPhone and CRM Desktop (Windows)
Content creators can assign multiple products to Multichannel Presentations (binders), Multichannel Slides, and document records created via auto-publishing. Multi-product content then generates in CRM as one clm_presentation__v and key_message__v record per assigned product, ensuring accurate product information is associated with each presentation. This prevents end user media libraries from being overcrowded and makes it easier for content creators to manage and maintain the content in PromotMats/Medcomms.
Syncing Favorites Across Devices
When users mark presentations as favorites, the favorites are synced to CRM. This allows users to manage and use their favorites across multiple devices.
When users add labels to presentations, the labels are synced to CRM. This allows users to manage and their labels across multiple devices.
Tracking CLM Key Messages on CRM Desktop (Windows)
Each time a key message is viewed via CLM, a call2_key_message__v record is created and stamped with information about the content viewed. This allows users to track and report on CLM key message metrics.
When users display CLM presentations in Presentation View outside of call mode, the displayed slides are tracked to Multichannel Activity and Multichannel Activity Lines. This additional CLM tracking allows customers to report on the usage of CLM outside of call mode to better understand the full utilization of CLM.
Tracking Save for Later CLM Activity on CRM Desktop (Windows)
When CRM Desktop (Windows) users display CLM content, the CLM activity is saved without the dependency of starting it from the online call report. Users can view the tracked CLM activity and associate an account with the activity at a later time. This saves the user from having to associate a presentation with an account during a call.
Tracking User Activity Using JavaScript on iPhone and CRM Desktop (Windows)
To support analysis of detailed user activity within CLM content on iPhone and CRM Desktop (Windows), content can be coded to capture specific user actions performed on HTML5 content using the updateRecord JavaScript function. These actions can include button selections or certain gestures (clickstream data), or generic data capture, such as updating an HCP’s email address on the Account object.
When searching for CLM content in the media library, users can use advanced text search to easily locate the presentation slide containing the searched text and navigate directly to the slide. Users can also filter the search results using the configured filters.
Using Augmented Reality in CLM on iPhone
iPhone users can display Augmented Reality (AR) content in CLM, enabling more creativity when displaying product metrics, effects, and information. AR overlays virtual objects, known as models, onto a lens of the real world, known as the scene. Augmented Reality differs from Virtual Reality (VR) in that AR uses a blend of virtual objects and the user's real surroundings, rather than completely replacing the surroundings with a virtual environment.
Using Custom Presentations on iPhone and CRM Desktop (Windows)
iPhone and CRM Desktop (Windows) users can create and manage customized presentations from the existing presentations slides in their media libraries to deliver specifically tailored messages to targeted accounts. These presentations can be saved for later use with other interactive calls.
Using Directories in the Media Library on iPhone and CRM Desktop (Windows)
Content admins can define directories and their hierarchy to help iPhone and CRM Desktop (Windows) users organize and navigate the media library. Creating a directory hierarchy for CLM presentations allows users to quickly and easily find the presentation they want to detail to an account.
Using Hidden Presentations on iPhone and CRM Desktop (Windows)
Content admins can hide CLM presentations that are only intended to be accessed from another CLM presentation. This ensures iPhone and CRM Desktop (Windows) users do not directly navigate to content without the appropriate context and prevents end user media libraries from being overcrowded. End users can only navigate to hidden presentations when they are included as sub-presentations or via the goToSlide and goToSlideV2 JavaScript library methods.
Using Presentation Attributes to Filter Presentations on iPhone and CRM Desktop (Windows)
iPhone and CRM Desktop (Windows) users with a larger media library can filter using presentation attributes to reduce the number of presentations that display. These filters can be used in conjunction with existing labels and directories. Filters can also be applied to search results to narrow the result list to find the correct presentation.
Using Shared Resources on iPhone and CRM Desktop (Windows)
To optimize storage space and reduce sync times, HTML assets known as shared resources can be used with multiple Key Messages on iPhone and CRM Desktop (Windows).
Using Training Presentations on iPhone
Training presentations include content still in development or used specifically for instructional purposes. This allows customers to test how content displays in the CLM media player before publishing it to all users.
Viewing Slide Notes in Presentations on iPhone and CRM Desktop (Windows)
When preparing CLM content in the CLM media player, iPhone and CRM Desktop (Windows) users can view notes for each key message to ensure they deliver specific, tailored content to HCPs. Slide notes for auto-published PowerPoint content are automatically synced from PromoMats/MedComms.
Coaching Reports
Advanced Coaching Reports allow managers to communicate with users about their performance, for example, what they need to improve, what they are doing well, and how to interact with accounts. These reports change frequently and are different between markets and countries. Survey admins can easily change the questions offered without needing a CRM admin.
Employee Commenting on Advanced Coaching Reports
Employees can add a comment when reviewing their Advanced Coaching Report survey targets to allow participation in the coaching report process. Once the employee completes the report, managers can view the employee’s comments.
Engage
Capturing Asynchronous Remote Signatures for BRC Samples Using Share Link (Sign Later)
End users can send asynchronous remote signature requests for BRC samples, allowing HCPs to provide remote signatures for BRC samples at their convenience. This provides the flexibility of paper-based sampling with the speed, accuracy, and accountability of remote signature capture.
Capturing Remote Signatures for BRC Samples Using Share Link (Sign Now)
End users can remotely capture signatures for BRC sampling by sharing a link. This is useful if the user is meeting with an account remotely, for example, over Zoom or Microsoft Teams, and wants to disburse BRCs.
Capturing Remote Signatures for BRC Samples During Engage Meetings
Remote signature capture allows for sampling during Engage meetings. End users can sample BRCs via the call report and capture a signature while hosting the Engage meeting, extending the user’s ability to provide samples to HCPs without needing a face-to-face meeting. End users can also capture remote signatures for sampling from child calls created from a unique activity group call during an Engage meeting. Remote signature capture grants end users more flexibility when planning, scheduling, and executing Engage meetings when a sample is requested. Additionally, HCPs can easily provide signatures without needing to access a link to navigate to the signature page.
Copying and Forwarding Engage Chat Messages
CRM users and HCPs can copy or forward Engage chat messages as a quick way to share more information. Additionally, forwarded messages are tracked and the data can be used in reporting, allowing customers to gain insight on how their users communicate with forwarded messages.
Engage for HCPs is a convenient and efficient way for HCPs to connect with CRM users and other HCPs. HCPs can manage their meetings and chat with their connections within the app, allowing them to communicate in a way that fits their schedule.
Engage chat is a convenient, secure, and compliant communication channel for users to interact and share information with HCPs outside of calls. Users can chat with HCPs from Vault CRM using the Engage tab. Users must have an active internet connection to load chat threads, and to send and receive chat messages.
Events Management
Adding Event Speakers to an Event
Event organizers using the refreshed Events Management UI can add one or more speakers to their event. Organizers can view each potential speaker's profile before adding them to the event to ensure the right, eligible speakers are selected.
Adding Event Team Members to Events
Event organizers can add other users or groups as event team members, enhancing collaboration between various roles in the events management process. Each event has its own list of team members, which can include both Vault CRM users and external users.
End users must create em_event__v records to begin planning their event. Each event must have a defined Event Type, start time, and end time, which impacts actions available to the new event, the event's layout, and even certain functionality related to the event's execution, as defined by the event's corresponding Event Configuration.
Expenses or expense estimates created by users can be categorized into types based on the type of expense, enabling end users to quickly see the various types of expenses for their event. Business admin users can create custom expense types according to specific business needs. End users can utilize these custom expense types to create records for either expense estimates, or expense lines.
Defining Custom Event Statuses and Lifecycle States
Business admin users can create custom event statuses that suit their specific business needs. When end users use Event Actions to change their event's status, the event's lifecycle state also updates. Every potential event status must have a corresponding lifecycle state with a matching API name, meaning that business admin users must also create these custom lifecycle states for each custom status they create.
Events Management uses a page layout engine to determine which page layout to use based on a set of inputs, providing a dynamic user interface that displays information depending on several factors.
Defining Speaker Qualifications and Requirements
Depending on compliance requirements, end users may need to be restricted from selecting speakers that are either untrained on an event's topic, or who are lacking in a specific type of training. Business admin users can define a speaker's qualifications, as well as create Event Rules that filter the list of available speakers to only display qualified speakers as available for selection.
Displaying Events Management Events in My Schedule
To avoid scheduling conflicts, users can view Events Management events in My Schedule if they are the event owner, an attendee, or a user or group Event Team Member.
Larger events frequently comprise of multiple individual sessions, each of which may have their own start time, end time, location, and attendees. Additionally, attendees may attend one or more sessions. The Event Session object enables end users to properly track these smaller sessions, the attendance of which is stored as associated Event Session Attendee record.
Once end users have scheduled and created an event, they can use the Attendees related list to add attendees to their event. Event attendees can include person accounts, business accounts, or even other Vault CRM users.
Veeva Events Management includes capabilities for defining budgets, managing budgets for event planning, and recording expenses against these budgets.
To provide end users with materials for their event, business admin users can create event catalogs for various types of materials. These catalogs can be associated to a specific event either automatically or manually via em_event_material__v records, enabling admins to easily audit how frequently an event catalog is used in the Vault CRM instance.
End users can enter estimated expenses for their events. Expense estimates enhance the event approval process by enabling the event approver to gauge an event's estimated expenses prior to approving an event.
Managing Expense Headers and Expense Lines
Event organizers can create expenses attributed to a single participant, called a payment expense.
Managing Speaker Caps and Utilization
A speaker cap is a limit on the total monetary value that can be transferred to an HCP over the course of a year. Year-to-date (YTD) Speaker Caps can be reset automatically via a scheduled process on a date to accommodate customer needs.
Rolling up Estimated, Committed, and Actual Costs for an Event
To enable accurate budget allocations across various events using the same budget, three expense stages keep track of costs for both estimates and expenses: estimated, committed, and actual.
Searching for Attendees Outside of the User's Territory
To improve the attendee invitation process, end users can search for attendees to add to their event that are outside of their territory. This enables end users to invite potentially interested accounts to their events, even if they would normally be unable to access the account due to territory constraints.
Selecting Attendees in Hierarchies
Account Hierarchies are frequently used to group together affiliated accounts and to display the organizational structure of business accounts or HCOs. To enable easier selection of attendees, event owners can drill down into account hierarchies when adding attendees to their event.
Using the Digital Sign-in Sheet
The sign in process for Events Management enables event organizers to digitally capture attendee information as they arrive to an event and sign in. Additionally, event organizers can use the Summary modal to view which attendees signed into the events, which attendees opted into a meal, and which attendees are walk-in attendees.
Every event created in Events Management is associated with a single matching Event Configuration record that matches to events based on the event's object type, scheduled date, and country.
The Events tab is a timeline-based tab on the iPad platform. This tab allows users to quickly locate appropriate events in the past, currently open events, or events planned in the future. Users can extensively filter and search for event information, for example, accounts, speakers, or topics available to the user.
Using Event Templates in Child Events
Large events may have several associated child events, which can share common information with the parent event. To quickly create these child events without needing to reenter shared information, end users can use Event Templates to copy common information between a parent event and the associated child events.
To enable event organizers to easily decide which speaker to choose for an event, the Speaker tab displays a list of all speakers. The Speaker tab displays the availability and eligibility of speakers, as well as common profile attributes such as affiliation, credentials, and specialty.
Reconciling Walk-in Attendees to Existing Accounts
This feature provides the means to capture details, including signatures, of uninvited attendees of an event. Every attendee, including walk-in attendees, at an event must be recorded to ensure accurate reporting of event details and costs. Event coordinators are then able to reconcile the attendee list against the CRM database records list of accounts and users to satisfy compliant reporting requirements.
General
Application profiles simplify the process of managing Vault CRM by allowing admins to create groups of users that all share a similar set of application configurations. Changes to application configuration can occur for this group regardless of any individual user's Security Profile. With this release admins can create application profiles. Functionality to use application profiles will be available in a later release.
Vault CRM has standard metrics for call channel, user type, and user country data. Standardizing a set list of picklist values enables better insights through benchmarks built on consistent data across companies.
